Email deliverability

Emails going to spam? We find out why and fix it

Quotes, invoices and replies that land in spam cost you jobs. Send us your domain and the Passieon Team will read your SPF, DKIM, DMARC and blocklist status and reply in writing within two working days. The first check is free.

Short answer: Business email usually lands in spam because SPF, DKIM or DMARC records are missing or broken, a sending tool was never added to them, or the domain has a reputation problem. Passieon checks the records and the blocklists, fixes what it finds and shows test results before and after. No one can promise inbox placement.

Passieon is an independent agency. We have no connection with Google, Yahoo or Microsoft.

Signs your email has a deliverability problem

  • Customers say your quote or invoice never arrived, then find it in spam.
  • Mail to Gmail, Yahoo or Outlook addresses goes missing while mail to some other providers arrives.
  • You send from a website form, a CRM, a booking tool and a mail app, and nobody is sure which are set up properly.
  • Open and reply rates on a cold email campaign dropped and nobody can say why.
  • A message from your own domain was rejected with a code that mentions authentication or policy.

If one of these sounds familiar, start with the guide to why business emails go to spam or send your domain through the form and we will look at it for you.

Offer A, the Inbox Fix for one domain

For small businesses whose normal email lands in spam. One domain, audited and repaired, with test sends before and after so you can see what changed.

SPF, DKIM and DMARC

We read what is published for the domain today, list every service that sends as you, and fix records that are missing, duplicated or broken. SPF stays inside the 10 lookup limit in the standard.

DMARC, moved toward enforcement in steps

We start by watching with a policy that changes nothing, read the reports, fix the senders that fail, and only then tighten the policy. A rushed DMARC policy can block your own invoices, so we do not rush it.

MX and reverse DNS

We check that mail is routed where you think it is and that the servers sending for you have a matching reverse DNS name, where that applies to your setup.

Blocklist checks

We check the domain and the sending addresses against the major public blocklists and tell you what a listing means and what to do about it. We do not promise a removal, because the list operator decides.

Google Postmaster Tools

We set the domain up in Postmaster Tools so you can see spam rate and authentication results for mail sent to Gmail. It shows data only when enough mail goes to Gmail addresses each day.

A sending practices review

Unsubscribe handling, list quality, From addresses, links, volume changes. The habits that get a clean setup flagged anyway.

Before and after test sends

We send test messages to a set of mailboxes at the major providers before and after the fixes and show you where each one landed. Test results show what happened to those messages. They do not predict every message you will send.

Offer B, cold email infrastructure audit

For agencies and B2B teams running Instantly, Smartlead, Lemlist or similar, whose open and reply rates fell. We audit the whole sending setup and hand back a fix plan in priority order. Monthly management is optional afterward.

  • Domains and mailboxes, including how many domains share a brand and how records are set on each
  • Warmup status and whether it is still running or has been left on too long
  • Sending volume per mailbox, per day and per week, against sensible limits for the age of the mailbox
  • Rotation, so no single mailbox carries more than its share
  • Content and link checks, including tracking domains, link count and plain text versus HTML
  • A written fix plan in priority order, with the fastest wins first

Cold email is bulk mail in the eyes of mailbox providers, so the same sender rules apply. Our guides on the cold email infrastructure checklist and the Gmail and Yahoo sender requirements explain what is expected. Agencies that want to resell this can read the white-label page.

What it costs

Pricing depends on how many domains and mailboxes are involved, so we quote it in writing after the free check. You will know the cost before any work starts.

How it works

  1. 1

    Send your domain

Fill in the form above with your name, email and website. That is all we need for the first check. No payment, no account.

  2. 2

You get a written first look

The Passieon Team reads the public DNS records for your domain and replies in writing within two working days with what looks wrong and how serious it is.

  3. 3

    You decide

If you want it fixed, we agree the scope in writing, ask for the access we need and do the work. We send progress by email and recorded video walkthroughs, and you can book a call if you would rather talk it through.

What we do not promise

We do not promise inbox placement. Gmail, Yahoo and Outlook decide for each message, and they publish the rules they expect senders to follow. We work to those published rules and to the standards behind them. We also do not promise that a blocklist will remove you, since the operator decides.

Email deliverability sits next to the SEO and technical site work Passieon already does. If the website needs attention too, see our SEO audit services or SEO services. Read more in our guides.

Questions about email deliverability

Why are my business emails going to spam?

The usual causes are missing or broken SPF, DKIM or DMARC records, a sending service that was never added to those records, a domain or address on a blocklist, or sending habits such as sudden volume jumps. The free check looks at the first three and the blocklists. Our guide on why business emails go to spam goes through all of them.

Is the first check really free?

Yes. You send your domain, and we reply in writing with what the public records show. We do not ask for a card.

Can you guarantee my emails will reach the inbox?

No, and nobody honest can. Gmail, Yahoo and Outlook make their own decisions on every message. What we can do is make sure your domain is set up the way those providers say they expect, remove the common causes, and show you test results before and after.

Do I need to give you access to my email?

No. The audit uses public DNS records and test messages. To fix records we need access to wherever your DNS is managed and to the dashboards of the services that send your mail. We never need your mailbox password.

Will tightening DMARC block my own mail?

It can if it is done too fast, which is why we start with a policy that only reports, read the reports, fix the legitimate senders that fail, and then move up one step at a time.

What if my domain is on a blocklist?

We tell you which list, why domains usually end up there and what the operator asks for. Removal is decided by the list operator, so we cannot promise it. Fixing the cause matters as much as the request.

Do you work with cold email teams?

Yes. Offer B is an audit of your domains, mailboxes, warmup, volume and rotation, with a fix plan. Agencies can resell it under their own name. See the white-label page for that.

Is Passieon connected to Google, Yahoo or Microsoft?

No. Passieon is an independent agency. We read what Google, Yahoo and Microsoft publish about sending requirements and we work to those published rules. We have no special access or influence with them.
